Your services, working area, opening hours, duty roster, what counts as an emergency and what does not, and how you want to be addressed by name.

Always, or only when you do not answer within a set number of rings, or only outside opening hours. Your choice, changeable at any time.

During the call

What the agent does while it is talking.

It listens before it acts

The first thing it establishes is whether this is an emergency, a new job, an existing appointment or a supplier. Everything after that follows from that one decision, the same way a good receptionist works.

It reads your availability

It checks free slots in the connected calendar and offers two concrete times, not a vague callback promise.

It transfers warm

On a real emergency it calls the on-call number, tells you in one sentence what is going on, and only then connects the caller.

It captures the details

Address, postcode, access, what is broken, since when, and the phone number to confirm on. Read back to the caller before the call ends.

It follows the language

The caller opens in Dutch or English and the agent stays in that language for the whole conversation.

It stays inside its limits

No prices without an inspection, no technical diagnosis, no arguing about an invoice. On those it offers a person, because a wrong answer costs more than a transferred call.

After the call

What lands on your side.

The call is only useful if what happened in it survives. Every conversation produces the same three things, whether it was thirty seconds or six minutes.

That means the handover to your engineer does not depend on someone remembering to pass a message on.

Technical questions

The things people usually ask second.

What if two people call at the same time?

Both are answered. The agent is not a single line, so a busy tone does not happen no matter how many calls arrive at once.

What if your systems go down?

Call forwarding falls back to your own phone or voicemail, exactly as it does today. A failure on our side means the situation you are in now, not a worse one.

Can I switch it off when I am available?

Yes. Forwarding is yours to control, so you can send calls to the agent only outside opening hours, only when you are on a job, or always.

Do you record the calls?

The transcript is always kept, the audio only if you want it. Both are deleted on a schedule you set, and callers are told they are speaking to a digital assistant.

Which telephony does it work with?

Anything that can forward a number, which in practice is every mobile, landline and VoIP provider in the Netherlands and Belgium.
